PURPOSE
The purpose for this policy is to establish the manner in which personal information gathered through the Virtual Manager products (Health Clean, SmartCleaner, Foodsafe) will be used by Virtual Manager and shared with third parties.
SCOPE
This policy applies to personal information held in the aforementioned systems developed and maintained by Virtual Manager. The policy covers both personal data gathered within the application as well as the metadata associated with the use of the solution.
POLICY
Information Collection and Use
The set of personal information collected by each of the Virtual Manager products is typically restricted to a person's name and email address. This data is used to identify the user within the system (dashboards, reports etc) or for automated emails to be sent from the system to the user. The emails are only sent relating to the users tasks or responsibilities within the relevant system. Email addresses are not used for marketing.
All data collected is stored on primary and redundant servers and is encrypted at rest and during transit.
Outside of the data being hosted on third parties cloud-based servers, the data is not shared with any third parties for marketing or any other use.
For clients obtained through Virtual Managers partnership with Crothall/Compass group, Crothall/Compass resources have access to the data gathered and dependent upon the agreement between Crothall/Compass the data may be owned by Crothall/Compass.
Log Data and Metadata
The solution collects various pieces of metadata and also logs a user's interactions with the system. The data collected and stored during interactions with the system may include the IP Address, User Agent, Pages visited, date and time of interactions and the geolocation of certain activities.
Third party services such as Microsoft Application Insights may be used to analyse this data with the results being used to monitor the application performance, troubleshoot issues and offer guiding information in general system maintenance.
Geo Location Data
During certain interactions with the system the application may store and transmit to the server the geo location of the user. This data is available in reports and dashboards available to the client.
